Executive Assistant Position
Summary:
The Executive Assistant to the CEO is responsible for providing comprehensive support to the CEO and managing the multiple facets of the organization’s administrative operations, including administrative and day to day office functions. The Executive Assistant will also report and assist the CFO with financial responsibilities. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Responsibilities:
- Acts as the administrative point of contact between the CEO and internal/external demands.
- Undertakes the tasks of receiving calls, taking messages, and routing correspondence.
- Conserves CEO’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information, initiating telecommunications.
- Researches, coordinates, and makes decisions regarding projects assigned by the CEO.
- Provide calendar management for the Leadership Team for organization wide calendars.
- Arrange and assist with logistics for conferences, meetings, and events.
- Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization.
- Coordinate and assist with events, as needed during and after business hours.
- Responsible for creating budgets and oversight of financial responsibilities.
- Ensure training for all new hires, and help the CEO create departments and processes as company needs grow.
- Other projects/duties as assigned for the overall benefit of the organization.
- Help assist the CFO with fiscal responsibilities and invoices.
- Seamlessly run day to day operations in absence of the Office Manager.
Qualifications:
- Bachelor’s degree or an equivalent combination of work experience.
- Minimum of 2 years of experience as an Executive Assistant OR leadership reporting directly to senior management or equivalent work experience.
- Advanced Google Docs or Microsoft Suite, with an ability to become familiar with firm-specific programs and software.

- Able to maintain a high level of integrity and discretion in handling confidential information
- Quick books online experience is preferred
- AP/AR experience or knowledge
- Office Management skills is mandatory
